Extra info re emailing
My daughter Lucy used to work on a computer help-line desk, and
as she’s come to stay with us for a few days, I took the opportunity
to ask her a few things about using Outlook Express…
Q. How do I delete all my unwanted emails in the “Deleted Items”
section?
A. Simply do a right mouse click on “Deleted Items”, and select
“Empty Deleted Items Folder”. Easy-peasy.
Q. Why would I want to create folders for the emails I’ve received
in Outlook Express?
A. Well, perhaps to make a folder for emails from a special person,
or a folder for important financial information or passwords you’ve
set up on various websites?
As regards the latter you should think about how to save this info
from viral attack .. perhaps forward it to a second email site, or save
it on Word documents (and then onto CDs), or to use the free
back-up service provided by mozy dot com (which can save all your
Outlook Express emails & addresses for you).
Q. How do I set up a folder for emails on Outlook Express?
A. (i) Right mouse click on “Local Folders” in the top section of
OE on the left hand side.
(ii) Select “New Folder”
(iii) Type in a name for your new folder (eg nottu3a)
(iv) Click on “Local Folders” underneath
(v) Click on “OK”.
Q. How do I get my emails about Nottm U3A into this folder?
A. There are two ways ….
(i) “drag and drop” your email across to the folder.
(ii) do a right mouse click on the email, and select “Move to folder”
Select the folder “nottu3a” and then click on "OK".
To delete a folder … right mouse click on it > Delete
Next up …. Adding an attachment to an email in Outlook Express.
Click on the paper clip icon, labelled as “Attach” on the top toolbar.
A new window will appear: “Insert Attachment”
You can now browse through the contents of your computer for a
pre-prepared (and saved) Word document or a photo that’s already
on your computer (or an inserted back-up CD-Rom).
It may save you time to have a rummage beforehand to find out
where this document or photo is on your computer, and ideally you
should also have some idea of the layout of the various storage levels
within your computer.
The top level is your Desktop
On the level below that is My Documents and My Computer.
On the next level down, in My Documents are folder such as My Pictures.
To go up and down between these levels you use the tools at the top of
this menu … the upward pointing green arrow will take you up a level
and the downward pointing blue arrow will take you down … a bit like
“snakes and ladders”.
When you’ve found the item you wish to attach, click on it.
The name of the file you’ve chosen will appear in the box below.
Now click on “Attach”… your item (and its size in kb or mb) will appear
on your email.
To attach another file, repeat the process.
Ideally if you’re attaching a photo, then this should be about 1MB
in size or less (for ease of uploading and downloading it).
A really easy way of sending a photo is to do a right mouse
click on it, select “Send to” and then select “Mail Recipient”.
Press “OK” to “make all my pictures smaller”.
Up will pop an Outlook Express email, which you can complete
in the usual way. You could change the wording in the Subject box
to personalise it, and add a personal message to the main body of the
email.
Note that your original digital photo of say 3-4MB size will now be
around 100kb or less. This is OK for viewing on a computer screen or
website, but it would look terrible if the recipient were to print it out.
You need digital images of about 350kb (and preferably a lot more)
to get a decent 6x4 photo print.
